The scheduling process can start before the registration deadline, but it's always a good idea to wait until all registrations are in before starting.
Scheduling consists basically of the following actions:
- Creating rooms
- Creating time blocks within each room
- Selectively moving registered students to those time blocks
There are two ways to create the schedule:
- Manual scheduling
- Scheduling wizard
Manual scheduling offers the most flexible options, but it may take a bit longer to complete. You can make use of filters to show only specific students before moving them to a time block. The system automatically calculates the performance times for students in a time block.
The scheduling wizard helps you to automatically group students by different criteria and then create time blocks automatically. This may be the faster way to scheduling, but may not work in all situations.
It is possible to use a combination of manual and wizard processes.
For virtual festivals and competitions where the judging is all done with videos online, you still need to assign students to "rooms" and time blocks. The system WILL still assign them a performance time, even though that time is irrelevant, since students have already sent their video links. You can safely ignore those scheduled times. Judges can actually start judging the student videos online at any time, as soon as they are assigned to a time block -- even weeks before the actual assigned "performance time."
